Hello, everyone. Today, you will be learning how to add instructors and students from the Groups tab. The option of adding new users from the Groups tab only applies to the student upload delivery method where the students will be entered in manually by the administrator.
This video applies to administrators who are familiar with the platform, combining the steps of adding users and creating a group at the same time. If you do not feel as confident, please see our individual videos on how to create users and how to create a group.
Now, let's begin the process of adding new users from the Groups tab. You must be assigned the administrator role allowing you access to the Institution Admin dashboard.
Once you are logged in, select the Groups tab. On the far right corner of the screen select the blue box titled New Group. This video will focus on the individual process of creating a group, so you will select New Group.
Under the group name, it is recommended you use a naming convention that is best suited to your organization. For example, you can populate the name as Security+ for 2022.
Under the name feature, you will notice the Preset Learning Plan Completion Date. Set your learning plan completion date to the designated end date of your class. For this purpose, a seven-day class period will be used.
The benefit of adding users while creating a group is to make use of the calendar feature located on the student portal. If administrators have a set in date for their course and have the option of uploading all new users, the administrator will populate the Preset Learning Plan Completion Date while creating the group. And once set, that date will correspond with the date shown on the calendar once the students log in.
If users already in the platform are using the student access key delivery method, they can change their calendar date on the learning plan themselves by selecting this dropdown to populate the date.
For more information on the student portal and the calendar feature, please see our Student Portal focused videos.
Returning to the original task, select Next. Now, select the blue box in the right corner titled New Instructors. Please notice that the dropdown allows you to add more than one instructor at a time. For this video, select Add Instructor.
Please see the multiple videos on how to successfully add multiple users at once.
Now you will be directed to the Create Instructor page. Populate the first and last name of the user. Then, populate the user's email. Before populating a default password for your user, please note that you do have the option of leaving the password field blank. If the password field is left blank, an automated account registration email will be sent to the user.
Next, you have the ability to assign an instructor to a higher role. Assigning the Institution Admin role to an instructor allows that instructor to create other users or groups.
Assigning the Institution Supervisor role to an instructor allows that instructor to have total access to all students’ progress associated with reporting features.
The next step requires an instructor to be assigned to a contract. Select the designated contract on the dropdown.
The Exclude from the Contract’s seat count option now appears. This feature, once selected, ensures that your instructor does not occupy a student assigned seat in your contract. Next, confirm the course that matches your designated contract.
Then select the checkbox Add to Group. Before selecting Create, confirm the information populated above is correct. You will be redirected to the Instructor Management page. Select Instructors in Group to confirm that your new instructor has been created and added to the group.
From here, select Next. Repeat the same steps on the Student Management page to add new students into the platform and the group. Once you have added all users into the platform and group, select Finish.
You have now added new users from the Groups tab. Thank you for your time.
