This video will illustrate how to add multiple instructors into your CertMaster Learn Institution.
Hi, everyone. Today, we are going to be learning how to add multiple instructors into your CertMaster Learn Institution.
This functionality can only be performed if you are assigned the Institution Admin role. Admins will start in their Institution Admin dashboard and navigate to the Instructors tab. On the top-right corner, you can select the dropdown from the blue box labeled New Instructors and from the dropdown, select Upload Multiple.
The following page will highlight the CSV Import Instructions and walk you through each step of creating the needed CSV file. The first step is to gather information for each instructor that you want to upload.
You'll need their first and last names and their email addresses. The second step is to create a new spreadsheet in Excel.
From here you create three headers labeled: email, name, and password. Please note that all headers are required, even if you are leaving some blank. You will now add your instructor's information from step one to their associated headers.
You'll put their emails in the email field, and the instructor's first and last name and the name field. The password field is optional, but best practice is that you leave this field blank. If you leave this field blank, an account registration email will be sent automatically to each instructor.
If you enter a password, you will need to manually provide this information to your instructors. After all required fields have been completed, you will now need to save your Excel spreadsheet as a CSV UTF-8. To do this, navigate to File, then to Save As, and from the dropdown, locate and select CSV UTF-8.
Once that has been completed and all your information has been looked over, you can select Save to complete your CSV file.
After your CSV file has been created, you'll return to the CertMaster Learn Institution for the final steps.
The next step is to select the contract that you would like to assign to your instructors. This contract is certification-specific and will provide your instructors with the associated Instructor Resources and Course Copy. Select the dropdown and select the contract that this instructor needs. At the end of each contract name, it will label how many seats are available.
These seats are only for students because instructors already have free access to the CertMaster Learn platform and its resources upon purchase. After selecting a contract, a new checkbox option will appear. This checkbox is to ensure that instructors do not take a seat from a student and exempt them from the seat count.
Please be sure to check this box whenever you are assigning a contract to instructors. Confirm that the correct course is being assigned to your instructor by selecting the next checkbox, and the last step is to upload your created CSV file with your instructor's information.
You'll do this by selecting the Choose File option, locating and selecting your created CSV file, and after all steps have been completed, you can select Upload to finalize the creation of your new instructors. After you click Upload, you'll be returned to the Instructors tab, where you can see your created instructors at the top of the list.
If a password was not set during the creation of your CSV, each instructor will be sent an account registration email at this time.
This email contains a link that the instructors can use to access their course copy for the first time. You'll also receive an email with a report on the successful import of your instructors and if you encounter any errors when uploading your CSV, please refer to the Support buttons resource, CSV File Upload Errors where you can see examples of commonly occurred errors.
